If you are worried about HotHawk hurting the deliverability of your different sales email accounts, we want you to know that there is absolutely nothing to be worried about.
There are 6 core reasons why HotHawk will not affect deliverability, (we will cover each one in more depth below). These are:
Our software does not facilitate automated email sending
We have built our own email client infrastructure and maintain a 1:1 relationship with each individual mailbox you connect to us
We are not forwarding all of your mailboxes to our master inbox
Google has verified our application and approved us for oAuth 2
We are a verified Microsoft application
We've completed the CASA Tier 2 certifications for cyber security
More information:
1. Our software does not facilitate automated email sending
HotHawk at it's core provides a unified email inbox and CRM functionality and we have no features or functionality that can support automated, mass email sending. Companies that have this type of email sending in volume have the potential (whether intentionally or not) to facilitate 'spam' emails and having the ability to facilitate spam is a big no no when it comes to domain reputation.
With HotHawk simply providing a unified email inbox and CRM capabilities, there are no red flags about the operations of our business and we are not considered a spam risk.
Connecting email accounts to us is no different to connecting them to your favourite, popular CRMs such as Hubspot, Salesforce, Pipedrive and Close.
2. We have built our own email client infrastructure and maintain a 1:1 relationship with each individual mailbox you connect to us
When planning how to best deliver HotHawk, we kept deliverability of our users emails as the number one priority. We explored many different ready-built email infrastructure such as EmailEngine API, but we decided against using a ready made solution just in case there was any future risk to our reputation.
With deliverability of our users front of mind, we decided to build a totally bespoke email client, from the ground up making us totally responsible for our own domain reputation.
This means that every mailbox you connect to us, whether via oAuth or IMAP/SMTP - we maintain a 1:1 relationship with that mailbox meaning that one mailbox connects directly with our API. We receive all emails from that mailbox and using our own advanced infrastructure, create your email threads and display all the data in a nice simple to use user interface that to you, just looks like a simple to use email client.
3. We are not forwarding all of your mailboxes to our master inbox
Having been in the cold email space for a very long time, we are aware of the dangers that forwarding many 'daughter' accounts to one 'mother' / 'master' inbox can bring.
One of the easiest ways for Google or Microsoft to identify that you are sending cold emails is by forwarding all of your accounts to one and as mentioned above, we maintain a 1:1 relationship between each of your email accounts and our API, there is absolutely no email forwarding going on whatsoever (how could we even do this with you connecting via oAuth, anyway? π)
4. Google has verified our application and approved us for oAuth 2
This is a big one.
When connecting a Google Workspace account to HotHawk, you'll notice there is no requirement to copy a 'Client ID' and ask the workspace admin user to approve our application. This is because we have been through a rigorous approval process by a third party cyber security company that Google told us to work with - they reviewed our whole system, security setup and most importantly, the scopes we wanted access to for our users data and what we were using this for.
Following this process we were granted our 'CASA Tier 2' security certifications and upon receiving these, were approved by Google as a Verified partner. This means they are happy with what we are doing and do not see it as a threat or potential spam machine.
Not only that, it means our users can simply connect Google accounts at the click of a button making adding Google workspace accounts 10x faster on HotHawk than any other tool in the cold email market.
5. We are a verified Microsoft application
Following our certifications with Google, we also wanted to become a Microsoft verified partner.
We submitted our application and also provided them with our CASA Tier 2 certifications (they did not ask for this, but we wanted to increase our chances of a speedy verification) and Microsoft communicated to us that they are happy with our use case and also verified our application.
Having had both Microsoft and Google review our application and grant us verified status due to them not having a problem with our use case of being a CRM, there will be no issues with deliverability here after connecting their accounts to our application.
6. We've completed the CASA Tier 2 certifications for cyber security
You'll notice when creating your account on HotHawk that we have strict requirements for passwords, Captcha boxes on input forms across our website and Cloudflare running in the background of our marketing website and application.
These 3 visible things are just the tip of the iceberg for what we have in place to protect our users. We know that handling users email data that is used for business development is a big responsibility and we have gone above and beyond to ensure that our users data is safe and protected.
CASA Tier 2 is a leading industry standard cyber security certification that we completed in order to achieve Verified status with Google and in order to comply with the requirements to achieve our certification, we had to meet over 250 individual data security requirements.
Our team spent over 2 months working solely on data protection and security to achieve this and i'm really happy to say that we did.
